Digitalisation of the circular economy
Especially in the event business, the demands are very high. Everything must be delivered in the type, quantity and exactly at the time agreed. Keeping the delivery promise essentially depends on the speed and quality of the logistics processes. RFID Konsortium has digitalised and automated logistics processes for Rent.Group. A project challenge of particular complexity due to very specialised and individual processes.

In order for a wedding party, employees at a company party or fans at a festival to be able to celebrate in style, a lot of organisational work is required in advance. In addition to a suitable location, plenty of equipment is needed depending on the number of people: party tents, furniture, catering equipment and attractive decorations create the perfect setting for any event.
Rent.Group creates the perfect atmosphere for its customers at events, trade fairs or in offices with sophisticated designer furniture. With the concept ‘rented instead of bought’, the Rent.Group, which operates throughout Europe, realises a sustainable circular economy. For customers, the delivery of tables, chairs and mobile reception desks before and collection after the event is a helpful service because they don’t have to worry about anything.
The logistics behind this are challenging.
With the end-to-end digitalisation of all logistics processes, based on item registration using RFID tags, Rent.Group has increased process quality many times over. And with it, customer satisfaction.
From paper lists to automated article recognition
With 100,000 events per year, it was essential to switch from paper-based picking to a digitalised system. Before the new solution was introduced, the visual inspection of the type and number of items was still carried out manually. After their return, all items had to be checked again using a list in a time-consuming process before being put back into storage. Missing items not only had to be recorded as shrinkage, but also retrieved. A manually initiated process that also took time. It was also critical for items that were already scheduled for the next order. If items ordered at the event location were missing, they usually had to be delivered under extreme time pressure.

The management’s wish:
Intralogistics that grow with you
The company’s expansion and the range of rental items, which has now grown to 7 million, made automated intralogistics and efficient track-and-trace in the entire event industry necessary.
The management opted for RFID-based labelling of all items as the basis for digitalised inventory management, paperless order picking and the introduction of electronic delivery notes.
On this basis, two further key objectives were realised:
1. the introduction of a new warehouse management system (WMS), taking into account company-specific processes and
2. the implementation of RFID-supported processes, such as inventory, picking, loading, delivery, retrieval, unloading, cleaning, VDE testing and restocking.

Bar tables with textile covers, leather chairs, glasses and cutlery were a particular challenge when choosing the right RFID labels and tags. The aesthetics of the tag and its hidden positioning were just some of the many requirements. The respective material surfaces required different types of RFID transponders that could be attached well and were also robust enough for numerous cleaning processes. The optimum RFID labels and tags were defined after extensive article testing.
It’s all in the mix
RFID Konsortium proposed a targeted mix of textile transponders, on-metal tags and classic RFID transponders for labelling. The idea behind it: To use as few tag types as possible, which had a cost-effective impact on the budget. In order to achieve the best possible performance in the RFID gate at the loading dock, items with the same transponder and reading properties were grouped together. This allowed these groups to be filtered more finely in the gate. In the meantime, 7 million rental items have been fitted with an RFID transponder. New items are tagged by the employees themselves and added to the inventory on mobile devices. It was important to develop an intuitive user interface and simple installation routine.

The readings: RFID gates prevent loading errors
At the loading gates, consignments in RF KonSys Gates are matched with their respective order within a few seconds. The loading process is thus automatically secured. At the gate monitor, the employee receives confirmation of the successful loading order check via a green light. Errors are displayed there via an alert.
HU (handling unit) labels are also attached directly to the load carriers to clearly identify them and ensure an additional control instance of the loading order directly at the gate. This allows handling units (HUs) to be found and allocated throughout the warehouse via track and trace. A valuable feature, especially during the peak season.

When the rental items return from the event venue, they are collected again via the RF KonSys gates in the unloading process and then sent for cleaning. Crockery runs through dishwashing lines, furniture, electrical appliances etc. are sent to quality assurance before they are prepared for (re)storage. The electronic delivery note is used for a quick comparison with the return delivery. Missing items are now immediately visible. A replenishment process is triggered immediately. Defective items are handled separately. Returned items can also be released directly for new orders. The staging zones are managed dynamically and route-optimised.

Inventory transparency and availability queries
The complete RFID labelling and system-based recording of all rental items has resulted in 100% stock transparency and enables seamless tracking and tracing of every item in the rental cycle. When a customer enquiry is received, the responsible customer advisor is now able to make an online availability enquiry for the required quantity, e.g. ‘200 Vitra chairs’, and book these for the order. Even at other locations. This transparency has the advantage that the entire stock availability is utilised today.
Improved process quality
All logistics processes are mapped via the warehouse management system: Loading, unloading, delivery, collection and preparation. All control processes, whether in-house or on the event site, are now digitalised and transparent. The electronic delivery note for delivery and collection checks the plausibility of the consignment by comparing actual and target values. Errors are thus avoided.
All value-adding processes in one software – at a glance
The media disruptions previously caused by paper lists and their fragmented, only partial digital recording are now a thing of the past. All departments have access to and work with the same software: sales, order processing, logistics, IT, employee scheduling, order picking, purchasing, on-site project managers, lorry delivery and returns and, of course, management.
This new single-point-of-truth view also makes it possible to generate valuable reports for controlling. All processes and orders can be monitored in real time. Customers can be informed about the status of their equipment at any time – right down to item level. ‘Is the little white wedding pavilion guaranteed to be on the truck?’ The bride and groom can be reassured with a glance at the system.
The transparency of all processes also offers the opportunity to further optimise them and adapt them to future customer requirements.
Why the decision was made in favour of RFID Konsortium as system integrator
Rent.Group was looking for a provider on the market who, in addition to comprehensive intralogistics expertise, was able to respond to the special requirements of the circular event industry. What was needed was a comprehensive understanding of processes and several years of experience in customised logistics projects in conjunction with barcode and RFID technologies.
A proof of concept and live proof that the RFID gate technology works was crucial. The co-operation with the Rent.Group team ‘on the small official channels’ took place at close intervals, in an agile and flexible manner.

Conclusion
Rent.Group’s equipment logistics now run smoothly, error-free, automated, digitalised and cheaper than before. Complaints, customer dissatisfaction and time-consuming search and research processes or expensive subsequent deliveries no longer exist. All departments now have an overview of every customer status within the circular economy. Items are also available for reletting more quickly across all locations. Deliveries and returns are monitored and are reported back in real time. The entire circular economy can be tracked via a Track&Trace system.
The system enables Rent.Group to react very flexibly to customer orders.
